- Presentation of workshop findings, draft vision and vision diagram – Maren and Cheryl
- Activity 1 - Select priority action strategies (total 15 minutes including break)
- Introduction – the purpose of this activity is for participants to select the action strategies they think are priorities and have the opportunity to add additional action strategies
- Through the PowerPoint presentation, participants will be instructed to read through the goals and action strategies. Under each goal, they will check or star the ones they feel are priorities.
- On the large posters, under each goal they will place one red dot next to the action strategy they feel is the top priority or most important. Then they will place the yellow dots next to other action strategies under any of the goals that they feel are the next highest priorities.
- People can also add strategies that they feel are important and not represented, by writing them on a post-it note and sticking on the bottom of the poster.
- They will then go back to their seats.
- Presentation of action steps and action strategy activity – Maren or Cheryl
- This presentation will briefly describe the importance and process of setting up an action plan, and the need to define action steps for each strategy they will undertake.
- We will introduce the action strategy activity.
- During this presentation a couple of people need to be tabulating the results of the strategic action priority activity to determine which goals will be discussed in the next activity and set up the table areas for the activity session.
- Participants will be given the choice of which goal/action strategies they would like to discuss. The number of activity groups will be based on the number of facilitators we have at the meeting (but minimum four groups, maximum six)
- Activity 2 – Confirm strategies, review priorities and consider action steps (30 minutes)
- Purpose – the purpose of this activity is to have a final confirmation of the action strategies that will be in the vision document, to understand why participants feel certain strategies should be priorities and give them the opportunity to learn and apply the process of developing action plans
- Let everyone know that there will be a report back and ask if someone would volunteer to do that for the group.
- Review the priorities establish by the dots in Activity 1. (10 minutes)
- Review any additional strategies that have been written in for this goal.
- Discuss: the top two or three priorities based on the number of dots
- For each strategy, discuss and record why this is a priority
- Discuss and record if it is a short term or long term strategy
- As a group select one strategy to take to the next part of the activity.
- Determine resource needs and first steps (20 minutes)
- Set up flip chart sheet with selected strategy written on it.
- Discuss and record:
- Who are the individuals, organizations, agencies that should be involved in this strategy? Next to each, note why (can be specific roles or types of expertise)
- What type of other resources (materials, funding, space, etc.) would be needed? Next to each, note if they are currently available in the community or will need to be found
- How - Brainstorm and record ideas of the tasks or steps that would need to be taken to accomplish this strategy. If there is time, number them in order if there seems to be a sequence.
- When – Confirm if this is a short term action, or a long term action, and when it should take place.
- Each group will give a 2 minute report back which should include:
- suggestions for new strategies
- priority strategies and why
- the who, what, how and when for the selected strategy
- Closing and Next steps – Mayor Doonan
